The Senior Executive Assistant is responsible for providing confidential administrative support to the President & CEO ensuring highly sensitive support with integrity and professionalism. The position requires a high degree of flexibility and adaptability to balance the often conflicting needs of employees, management and the business. Prioritizing, scheduling, and implementing all tasks with a sense of urgency, meeting timelines and deliverables are key to the success of the organization while maintaining the highest level of confidentiality and ethics.
Essential Position Functions
•Serve as primary contact to the President & CEO. Represent President & CEO by welcoming visitors, reviewing correspondence, arranging company dinner/corporate functions, answering questions and scheduling appropriate meetings for the President.
•Complete projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving and making adjustments to plans.
•Conduct research, compile data and prepare for consideration and presentation.
•Manage and maintain President’s schedule.
•Prepare agendas for Managing Doctor meetings, attend meetings and compile record minutes.
•Review and create memorandums, submissions and reports in order to determine their significance and distribution priority.
•Use professional judgment to screen incoming calls to President.
•Travel coordinator for all travel needs.
BA/BS degree in Business Administration or related field and five years’ of corporate administrative experience required OR equivalent combination of education and experience which will provide the ability to perform the essential functions of the position.
•MS Office, including Word, Excel and PowerPoint at an advanced level.
•Creating effective workflows.
•Excellent verbal and written communication skills. Strong interpersonal skills and ability to cultivate and maintain relationships.
